Coordinator Tasks
What am I expected to do?
The coordinator is responsible for administering all aspects of NSE at the home institution and serving as the liaison
with the NSE Central Office and with NSE exchange participants. Coordinator responsibilities include, but are not
limited to, the following: publicizing the program; selecting and approving applicants; placing the applicants; making
arrangements for tuition/fees payment; assisting incoming students with registration; ensuring that all students are
enrolled; orienting incoming students to the campus; acting as the guest students' advocate in regards to admissions,
registration, fee payment, housing, and other related campus services; and assisting students with the administrative
details necessary to return to their home campuses. (see NSE Handbook Sections 11.1, 15.0, 16.0, 17.0, 18.0, 19.0,
20.0, 21.0, and 22.0)
Time Demand
How much time should I expect to spend as NSE coordinator?
The size and physical structure of your campus as well as the way you organize the program will greatly affect how much
time is required. An average time allocation for the NSE coordinator on most campuses might be in the neighborhood of
15-20 percent.
NSE Central Office Involvement
What role do the Central Office staff play with my campus program?
NSE staff remind and assist the campus coordinator in managing the program within the NSE framework. Apart from some
basic guidelines, the campus decides how it will administer and use NSE. NSE staff are available to help where needed
in answering questions and solving problems. (see NSE Handbook Section 7.0)
Working with the NSE Central Office
What expectations does NSE have of me beyond the campus responsibilities?
Periodic requests for information will be sent from the NSE Central Office. Coordinators are expected to respond to
requests in a timely manner and keep their program operating on a timetable common to the whole consortium. Read the
ATTENTION mailings. (see NSE Handbook Section 11.1)
Calendar/Timeline
Is there a common calendar or timeline for all coordinators?
NSE operates well only because there is a commonness in the manner and time in which all coordinators manage their
programs. The NSE publication, Timeline, provides a month-by-month calendar for campus management of the NSE program.
It also details forms and materials which are required by the NSE Central Office. The newsletter mailing, ATTENTION,
also reminds coordinators of responsibilities and deadlines throughout the year.
Coordinator Continuity/Transition
What should I do when I must hand NSE over to someone else?
Planning ahead by developing internal program documentation and/or manuals is strongly recommended. Sample materials
are available from NSE. Immediately notify the NSE Central Office of a change in NSE coordinator assignment. New
coordinators are sent a checklist of the NSE and campus materials which should be in their possession. All new
coordinators are assigned a veteran coordinator to serve as mentor for their initial year of NSE responsibilities. (see
NSE Handbook Section 11.1.1.5)
Reporting and Record Keeping
What kind of reporting is required of me?
Each campus has its own requirements. It is wise to keep accurate data on the students: numbers, GPA, majors, class
year, experiences, etc. The NSE Central Office will periodically request reports using standardized and easily
completed forms. (see NSE Handbook Section 22.0)
Assistant Coordinator Role
What role do assistant or student coordinators play?
People other than the coordinator can be very helpful with the program. Some campuses have formed strong partnerships
with student government and share program administration as well as financing. Some campuses identify faculty and
staff who serve as contact people in departments or other offices of the institution. Assistant coordinators are
commonly used in recruiting efforts and in meeting with students who inquire about the program. Another common task
for an assistant is to greet students coming into a local airport or train station. Contact the Fort Wayne Office for
model programs. (see NSE Handbook Section 11.1.2)
